Privacy Policy

1. Who is responsible for your data?

BRB Digital, the operator of FastConvert, is the controller of the personal data described in this policy. Its identity, postal address, and contact details are provided in the legal notice.

2. Data we process and why

  • Files and conversions: files you import or upload, converted files, file names, formats, sizes, and processing status. We use this data to perform the conversion and any cloud delivery you request. The legal basis is performance of the service you request.
  • Account and workspace: your name, email address, sign-in and session data, saved recipes, conversion history, connected cloud accounts, and client portal settings. We use this data to create and secure your account and provide account features. The legal basis is performance of our contract with you.
  • Client portal submissions: the sender's name and email address, submitted files, status, and technical anti-abuse data. We use this data to process and deliver the submission and send transactional updates. The portal owner receives the sender's identity and submission result.
  • Billing: subscription, order, amount, currency, invoice, and transaction status received from Polar. Polar processes payment details as the merchant of record; FastConvert does not store full payment card details. We use this data to provide paid access, on the basis of our contract and applicable accounting obligations.
  • Security and operation: IP address, browser and device information, access times, technical logs, and a pseudonymous identifier for anonymous usage limits. We use this data to secure the service, prevent fraud and abuse, and diagnose failures, based on our legitimate interests.

Fields marked as required in the service are needed to provide the requested feature. Without them, we cannot create the account, process a portal submission, or complete the relevant request. Other fields and all cloud integrations are optional.

Data normally comes directly from you. It may also come from a portal owner who invites you, from your chosen sign-in or cloud provider, or from Polar when you purchase a subscription. We do not use uploaded files to train AI models and do not make decisions about you based solely on automated processing.

3. How long we keep data

  • Uploaded and converted files are automatically deleted after 24 hours on the Free plan and 1 week on paid plans. Client portal files and submission details follow the Pro plan period.
  • Account data, recipes, and cloud connections are kept while the account or connection remains active and are deleted when you delete the account or disconnect the provider, subject to the exceptions below.
  • Anonymous quota records count activity over a rolling 24-hour period and are removed after they are no longer needed for that limit. Security logs are kept only for the time needed to investigate and protect against incidents.
  • Billing and transaction records are kept for the periods required by accounting, tax, fraud-prevention, and dispute-resolution laws.

4. Who receives data?

Data is available only to FastConvert and providers that need it to host and secure the service, store and process files, operate the database, authenticate users, send transactional emails, prevent abuse, and manage subscriptions. These providers act under their own privacy obligations or on our instructions. We may also disclose data when required by law or to establish, exercise, or defend legal claims.

We do not sell or rent personal data and do not use it for advertising.

5. Google Drive and Dropbox

If you connect Google Drive or Dropbox, FastConvert accesses only the files, folders, and permissions needed for the import or delivery you request. We store the connection token and selected destination identifiers while the integration remains connected. You can disconnect it at any time. Files already delivered remain with the provider until you remove them there.

FastConvert does not sell Google user data, use it for advertising, or use it to train general-purpose AI models. Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.

6. Cookies and audience measurement

FastConvert uses only cookies and similar storage that are necessary for authentication, security, preferences, and anonymous usage limits. We do not use advertising or optional analytics cookies. Because these cookies are necessary to provide features you request, they do not require consent; blocking them may prevent parts of the service from working.

FastConvert uses Vercel Web Analytics and Speed Insights to produce anonymous, aggregated audience and performance statistics, such as pages viewed, traffic sources, loading speed, responsiveness, visual stability, approximate country, browser, and device category. This helps us understand and improve the service, based on our legitimate interests. These services do not use third-party cookies or associate these statistics with an identifiable user. Analytics are kept only for the reporting period available under our Vercel plan.

7. International transfers and security

Some providers may process data outside the European Economic Area, including in the United States. When required, these transfers rely on an adequacy decision or appropriate contractual safeguards. You may contact us to obtain information about the safeguard relevant to your data.

We use appropriate technical and organizational measures to protect data, including encrypted transport, access controls, and scheduled file deletion. No online service can guarantee absolute security.

8. Your rights

Subject to applicable law, you may request access, correction, deletion, restriction, or portability of your data, and object to processing based on legitimate interests. Where processing is based on consent, you may withdraw it at any time. You can also delete your account from account settings or disconnect a cloud provider.

Send a request to support@fastconvert.app. We may need to verify your identity and will normally respond within one month. You may also complain to your local data-protection authority or to the CNIL.

9. Changes

We may update this policy when the service or legal requirements change. The date above identifies the current version. We will provide appropriate notice if a change materially affects how we use personal data.
